If your company name has changed from X to Y, and:
- The name change has been approved and updated with the Ministry of Corporate Affairs (MCA),
- The PAN remains the same, and
- The updated name is already reflected against your IEC on the DGFT system,
then, in principle, Customs systems receive IEC-related updates from DGFT. However, for filing a Shipping Bill (SB) through ICEGATE, it is advisable not to assume that the change will automatically appear everywhere immediately.
Key points to consider:
- Verify ICEGATE Profile Details
- Log in to your ICEGATE account and check whether the updated company name (Y) is visible in your registered profile and IEC-related details.
- If the old name (X) is still appearing, raise a service request/helpdesk ticket with ICEGATE and attach supporting documents.
- Check Customs Registration Records
- Ensure that the IEC-PAN mapping and entity name are correctly reflected in the Customs system linked to ICEGATE.
- Sometimes synchronization between DGFT and Customs databases may take time or may require validation.
- Before Filing Shipping Bills
- Conduct a test verification through your Customs Broker or filing software to confirm that the exporter name retrieved from Customs records is showing as "Y".
- Any mismatch between exporter name, IEC records, bank documents, and Customs records can lead to processing issues.
- Supporting Documents
Keep readily available: - MCA Certificate of Incorporation pursuant to name change.
- Updated PAN details (if applicable, though PAN number remains unchanged).
- Updated IEC showing the new company name.
- Board Resolution/other corporate documents relating to the name change.
- GST Registration
- Confirm that the amended company name is also updated in GST records, as Customs validations may rely on linked registrations.
Practical Advice: Although DGFT updates generally flow to Customs systems, it is recommended to verify the name status in ICEGATE before filing the Shipping Bill. If the new name is already visible in ICEGATE and Customs records, no separate amendment may be required. If the old name continues to appear, contact ICEGATE support or the jurisdictional Customs EDI section and get the records updated before filing exports under the new name.
This precaution can help avoid Shipping Bill validation errors, delays in export processing, or complications in claiming export incentives and foreign exchange realization.
